Squads and seasons are not classes and terms

An academy running on class-and-term software starts fighting it around month two. A class has a capacity and a term has a start date, while a squad has a filed list that somebody else caps and a season that belongs to the federation. PSSI's provincial associations each set their own Piala Soeratin entry window, and those windows are short, move late, and have sat months apart between neighbouring provinces.

The consequences sit at the data layer. One child holds places on several squad lists at once while attending a single training group, and age bands are birth-year ranges written per competition rather than levels on a ladder. Two provinces defined the same U-13 band differently in one edition, which is why you store the date of birth and never a computed age.

Below about one squad and one coach a spreadsheet is genuinely adequate. Past that, nobody answers a parent's question without asking you first, which is where academy software earns its keep.

How do session allowances survive a month with five Saturdays?

This is the mundane problem that costs an academy money every quarter. You sell eight sessions a month or three a week, and some months carry five Saturdays while others carry four. A fixed counter either short-changes the family in the long month or gives a session away in the short one.

Can a parent move their own session without phoning anyone?

Half the value of scheduling software is what happens when a family cannot make Saturday. If every missed session routes through one person with a phone, that person is the system and the academy never takes a holiday.

Parents reschedule in the app, inside a notice period and a reschedule cap you set per activity, so self-service is not unlimited. Admins can still do it on a parent's behalf when somebody calls in anyway. With no allowance left the child moves into an existing slot instead, subject to that session's capacity and consuming no new credit.

What gets charged beside the monthly training fee?

Competition entry brings paperwork with a price attached, and none of it fits the shape of a recurring fee. Tournament entry, kit and insurance are one-off, per-season and per-player, and they land in the same fortnight.

A one-off charge can sit on the same invoice as the recurring charge, so a tournament fee needs no separate billing run. Billing is IDR-native and parents pay by GoPay, OVO, DANA, QRIS or bank transfer. It does not price the paperwork or file anything to a federation, and collects only what you decide to charge.

How do you tell one squad about a fixture change?

Four WhatsApp groups is not a communication system, it is a distribution of blame. The parent who misses the message is reliably the one who did not travel.

Announcements go to every parent, one activity group, or one location, so a fixture change reaches a single squad without waking the academy. Both the operator dashboard and the parent app run in Bahasa Indonesia and English. The system translates nothing, because an announcement is staff-written in whichever language staff wrote it, so a bilingual academy writes it twice.

Video is the thing parents of young athletes almost never see

A parent at a swim lesson or a football session is usually in a car outside. They hear that training went well, take it on faith week after week, and judge whether the money is working on what their child says on the drive home.

Twenty seconds of that child's technique changes the conversation completely. It is persuasive precisely because a photograph cannot carry it, since a still frame of a swimmer shows a swimmer while a clip shows the catch and the kick.

Parent updates carry video as well as photos. A coach records and trims a clip in the app, tags the children in it, and it lands only in those families' feeds rather than a group chat where every family sees every child. Clips run up to one minute, so this is a drill or a single correction rather than a recording of the session.

Treated properly this is a retention tool, not a communication one. The academies that renew are the ones whose parents watched the improvement rather than being told about it.

Moving a player up a squad or an age band

Promotion is where an academy either looks organised or looks amateur, and in youth sport it happens constantly because the bands move under the players. Happy Kamper records level and grade progression against a framework you define, whether that is beginner to advanced, a belt ladder, or squad tiers.

The record builds into the child's profile, so a parent asking when their child moves up gets an answer from one place instead of three. It never advances anybody on its own, and it does not evaluate a federation's eligibility rule or decide that a player is ready.

Whether the move can be made without unenrolling the child first, carrying schedule and billing plan across in one operation, is a question to put to any vendor and watch them perform. The alternative is congratulating a family and sending them an unenrollment notice the same afternoon.

Selling tickets to a tournament or a showcase

The moment an academy stages anything with spectators, somebody is collecting cash at a folding table and keeping the list on paper. The boundary is narrow. It sells capacity against a session rather than a numbered place, and it neither builds the programme for the day nor manages the venue.

What happens to a free trial that went well?

A trial nobody follows up is a marketing cost with no return, and it is the first thing dropped in a busy week. A free trial is held as a real booking against a real session, with a cap on trial spots per activity, so trials count against capacity and nothing is overbooked.

Attendance is recorded exactly as for a member. A trials board tracks each one through scheduled, attended, following up, converted or declined, so the trial and the member are one record rather than two names in two places.

Which questions actually separate one system from another?

The boundary, and who owns what

A vendor who will not state a boundary is telling you something. Happy Kamper does not register a squad, file into any federation system, run a competition, check a coaching licence, or decide a player has moved up an age band.

Staff profiles carry qualifications and coaches are assigned on them, but nothing reads a certificate against the federation's own register or watches an expiry date. Federation certification is a requirement of the sport and a licensed coach is a scarce resource, and both stay a matter for the club.
