Bimbel Management Software in Indonesia: What Your Session Packages Owe and What the Exam Calendar Decides

Choose bimbel software on two things the law and the exam calendar decide before you do. Under SAK EMKM a prepaid session not yet taught is a liability, not revenue, and consumer protection law limits what a package term may take away. So the system has to show, per student, what is still owed.

The paket is the product, and it is also a debt

Most comparisons of tutoring software start with features. A bimbel is better served by starting with the one object that makes it different from a school, a daycare or a music studio: the prepaid package of sessions.

When a parent buys twenty sessions in advance, the money arrives before the teaching does. SAK EMKM, the accounting standard the Ikatan Akuntan Indonesia writes for micro, small and medium entities, is explicit about what that money is. Cash received before the entity has met its obligation to the customer is recorded as pendapatan diterima di muka, a liability, or else as revenue with an adjustment later.

That single line reframes the software question. A tutoring centre with a healthy bank balance in March may be holding a large stack of unfulfilled teaching obligations, and the only place that stack exists is in whatever system counts sessions.

So the first requirement is not a dashboard. It is that the platform can answer, on any day you ask it, how many paid-for sessions the centre still owes, to which student, in which subject. If your answer to that question is a spreadsheet somebody updates on Sundays, the rest of the comparison is decoration.

Can a bimbel let unused sessions expire?

UU Nomor 8 Tahun 1999 tentang Perlindungan Konsumen restricts the klausula baku a business may put in front of a consumer, and two of them reach package terms: a clause that reduces the benefit of a service already paid for, and one that changes the rules mid-package. A term caught by either can be unenforceable. The statute also gives the parent a right to clear information about what they bought.

Whether your own expiry term is enforceable is a lawyer's question, not a blog's. The software question is separate: the balance on a paket has to be durable data the parent can see, not a counter somebody zeroes out at year end. Which is why billing and payments and attendance in two unconnected systems is a real problem rather than an inconvenience.

What does the exam calendar decide before you do?

Tes Kemampuan Akademik does not land on one year group. Pusmendik's national guidance places it at the exit year of primary, junior and senior secondary, so exam-season demand is three separate cohorts moving through the same building rather than one Year 12 event. Pusmendik also calls TKA an asesmen sukarela and states it is not compulsory, so you cannot infer class size from a school roll.

A bimbel serving exit-year students also has two distinct national deadlines inside one academic year, SNBP and the UTBK sitting behind SNBT, both published by SNPMB long before the term begins. The test for scheduling and enrollment is whether an intensive block can drop onto a running timetable without rebuilding the regular schedule by hand.

Subject demand is assembled one student at a time

The chosen-subject part of TKA shapes staffing hardest. Pusmendik states its purpose plainly: a candidate picks two subjects to match the program studi they are aiming at, or their intended career. Subject demand at a bimbel is therefore assembled one student at a time from a national menu rather than chosen by the centre, so three exit-year students in one room can need three different tutors with three different availability windows.

Why does a second branch need its own calendar?

Multi-branch reporting is sold as consolidation, but branches are not interchangeable and averaging them hides what you needed to see. School calendars are the first reason: they are provincial, not national. Each province's Dinas Pendidikan issues its own, so a branch in Bekasi and a branch in Jakarta Timur can be a short drive apart and still start term on different days. That moves their intensive weeks, trial-class demand and invoice runs apart with it.

The licence is local too. Under Permendikbud Nomor 81 Tahun 2013 a lembaga bimbingan belajar is licensed by the Dinas Pendidikan of its own kabupaten or kota, each licensed site carries its own Nomor Induk, and a site that has run no programme for two consecutive years can be closed.

The Direktorat Kursus dan Pelatihan asks course units to refresh their Dapodik record every semester and deactivates one that has not done so for five consecutive semesters. What should a free trial actually record?

Trial classes are how most bimbel enrolment starts, and they are also where the weakest data usually sits.

The practical difficulty is not running the trial. It is knowing, weeks later, which trials turned into paying students and which quietly did not, at a level of detail finer than a monthly total. A centre that cannot separate the two is guessing about the single number that decides whether its marketing spend was worth anything.

What the software can honestly do here is narrower than what buying guides tend to promise. It can hold the trial as a real booking against a real class with a real tutor, record who attended, and carry that student record forward into enrolment if they join, so the trial and the enrolment are the same person rather than two rows nobody reconciles. What it does not do is manage a sales process on your behalf. If a vendor's demo shows named stages, owners and due dates for chasing a lead, treat that as a claim to verify against the product rather than a feature you can assume. The honest framing for a bimbel is that the trial should leave behind a record good enough to answer one question at the end of the term, and answering that question is still your work.

One more thing belongs in this section because it is where centres lose money without noticing: a trial that converts into a package needs the package's start conditions written down at the moment of sale. What was bought, over how many sessions, at what price and against which exam date. Set that down at the point of sale and the awkward conversation in month four is a lookup instead of an argument.

Matching the requirement list to the size of the centre

The right answer changes with scale, and pretending otherwise is how centres end up paying for software they never open.

A single-site bimbel with one or two tutors and fewer than about fifty students has one non-negotiable requirement, which is the session ledger: what each student bought, what they have used, and what remains, visible to the parent as well as to you. Everything else can wait. A spreadsheet plus WhatsApp can genuinely carry a centre this size, and its real weakness is not features but succession, because the balance lives in one person's file and one person's head.

A single site that has grown past a handful of tutors and into multiple subjects hits a different wall. The schedule now has two constraints at once, student availability after school and tutor availability across subjects, and the exam calendar drops intensive blocks on top of it. This is the size at which a generic school or childcare platform starts to fail a bimbel specifically, because it tends to assume one class per child and one monthly fee, and a bimbel is per-session, per-subject and per-package. Purpose-built centre software earns its cost here, and parent communications matters more than it did, because a per-student progress view is what makes a parent comfortable buying the next package.

A multi-branch operator has the requirements above plus one more that is easy to underrate. Each site is its own licensed unit with its own Nomor Induk, its own Dinas Pendidikan and, if it crosses a provincial line, its own term calendar. Consolidated revenue is the least useful report such an operator can be shown. What it needs is per-site outstanding session liability, per-site tutor load by subject, and per-site enrolment against that site's own term dates, with the ability to compare rather than to merge.

Before signing anything, the test that separates real fit from a good demo is narrow. Ask the vendor to show you one student who bought a package, attended some of it, missed a session, rescheduled it and moved between a private and a group class, and then ask what the parent sees. If the answer to what remains is clear, in Indonesian, to a parent who is not in the room, most of the rest will follow. Payment coverage is worth checking in the same session, since parents will expect bank transfer, QRIS and the e-wallets they already use.
